How Xcrow Works
Xcrow is an AI-powered freelance marketplace connecting employers with freelancers and remote talent. The platform helps both sides move from an initial idea to a defined project, a funded agreement, completed work and an approved payment.
The typical journey is: an employer creates an account, posts a project and receives proposals or matches; the employer reviews the options, selects a freelancer and funds the agreed work through Xcrow; the freelancer communicates, completes and submits the deliverables; and the employer reviews and approves the work before the applicable funds are released under the project, milestone, payment-provider and platform rules.
For Employers: From Project Idea to Completed Work
1. Create an account
Register with accurate information, keep your login details secure and complete any verification requested by Xcrow. Your account lets you create project briefs, communicate with freelancers, review proposals, manage active work and follow payment activity.
2. Post a project
Describe the deliverables, required skills, preferred experience, budget, deadline, files and instructions. Explain how you will decide whether the work is complete. A clear brief helps suitable freelancers understand the opportunity and prepare relevant proposals.
3. Receive or match with suitable freelancers
Suitable freelancers may discover your project and respond. Xcrow may help connect requirements with relevant skills, but a match is only a starting point. Review each freelancer’s profile, experience, portfolio, availability, approach, price and timeline.
4. Review proposals
Compare proposals against the actual requirements instead of choosing only the lowest price. Ask about experience, process, communication, availability, revisions and assumptions. Clarify uncertainties before selecting a freelancer.
5. Agree on the scope
Confirm the deliverables, price, deadline, milestones, revisions, communication expectations and acceptance criteria before work begins. For larger projects, divide the work into stages so progress and payment can be reviewed separately.
6. Fund the project through Xcrow
Add funds through the payment process shown by Xcrow. Where the project uses escrow or another protected payment process, funds may remain temporarily held while the agreed work is completed and reviewed. Funding does not automatically approve the work or guarantee a refund.
7. Communicate and monitor delivery
Use the project workflow and platform communication to track progress. Provide files and feedback promptly, document revised timelines and discuss any work outside the original scope before it begins. Scope changes should include an agreed effect on price, deadline and deliverables.
8. Review and approve completed work
Compare submitted work with the project brief, milestones and acceptance criteria. If it meets the agreement, approve it. If included revisions are needed, explain the specific issue and request them through Xcrow. A new deliverable or substantially different direction is a scope change, not automatically an included revision.
9. Funds are released
After approval, the relevant project or milestone funds may be released according to the applicable workflow. Processing, verification, security checks, payment-provider rules and fees may affect when funds appear. Approval may limit refund eligibility for that milestone or project, subject to the project terms, an applicable guarantee and applicable law.
For Freelancers: From Profile to Payment
1. Create your profile
Present your services, experience, availability and working arrangements accurately. A complete profile helps employers decide whether your services are suitable.
2. Add skills and portfolio examples
List relevant skills, services, pricing or rates and typical delivery times. Add only portfolio work you created or have permission to share.
3. Browse suitable projects and services
Review deliverables, budget, deadline, skills, files and communication expectations before applying. Apply only when you can complete the work to the requested standard.
4. Apply or receive opportunities
Submit a proposal that responds to the employer’s needs. Explain your approach, deliverables, timeline and price, and ask questions where requirements are unclear. Review any direct opportunity or match just as carefully before accepting it.
5. Confirm the agreement
Before starting, confirm the final scope, price, deadline, milestones, revisions and acceptance conditions. Do not assume that additional work or payment is included if it was not agreed.
6. Complete and communicate
Work toward the agreed deliverables, keep the employer informed and use Xcrow for important project communication. Report problems or delays early and suggest a practical solution.
7. Submit work for approval
Submit each deliverable or milestone clearly and check it against the brief before submission. Respond to reasonable feedback related to the original scope and distinguish included revisions from new requests.
8. Receive payment
After employer approval, the relevant project or milestone funds may be released through Xcrow, subject to payment-provider processing, verification, security checks, applicable fees and the project terms.
How Xcrow Escrow Protects Both Parties
Where a project uses escrow or another protected payment process, the employer funds the agreed project or milestone and the money may remain temporarily held while the freelancer completes the work. This gives the freelancer a funded agreement to work toward and gives the employer an opportunity to review the deliverables before the applicable funds are released.
When work is approved
When the submitted work meets the agreed requirements, the employer approves it and the applicable funds may be released according to the project or milestone workflow, subject to processing and verification.
When work is rejected or revisions are requested
If work does not meet the agreed requirements, the employer should explain the specific issue and request any revisions included in the agreement. The freelancer should respond to reasonable feedback related to the original scope. New deliverables or substantially different directions should be agreed separately.
When work is disputed
Both parties should first communicate through Xcrow using the project description, agreement, submitted work, milestone requirements and message history. If they cannot resolve the issue, Xcrow may review the available evidence and make a reasonable decision under its policies. Funds may remain held during review, and no particular dispute outcome is guaranteed.
When a project is cancelled
Cancellation and refund eligibility depend on the project stage. Before work begins, a refund may be considered under the agreed cancellation terms, subject to applicable fees or processing costs. After work starts, completed work, submitted deliverables, expenses and project terms may affect the decision. After a milestone is submitted or approved, that milestone may be treated separately and approval may limit refund eligibility. After final approval, a refund may not be available for work accepted and used, except where required by the project terms, an applicable guarantee or applicable law.
A refund is not automatic because a client is dissatisfied, changes their preference or no longer wants the service. Review the Refund and Returns Policy for the full conditions.
Escrow does not guarantee project quality, a refund or a particular dispute outcome. Xcrow may delay a release or refund for payment-provider processing, identity verification, fraud prevention, security checks or suspicious activity.
How milestones work
Milestones divide a larger project into stages. Each should identify its deliverable, due date, budget and approval criteria. The employer funds a stage, the freelancer submits the work and the employer reviews it before that milestone payment may be released. Approval, cancellation and refund eligibility may be assessed separately for each milestone.
Refunds, cancellations and payment fees
Refund eligibility may depend on project status, work delivered, approval history, cancellation reason, dispute outcome, applicable purchase terms, promotional guarantees and applicable law. Where a 30-day money-back guarantee or another promotional guarantee is expressly shown at the point of purchase, it applies only to the identified product, subscription or service and its stated conditions. It does not automatically apply to every freelance project, digital service, subscription, featured listing or platform fee.
Transaction, service, subscription, commission, featured-listing and other platform fees may be refundable or non-refundable according to the applicable purchase, project or promotional terms. Available payment methods and the total amount due are shown during checkout or funding. Processing times can vary by provider, bank, card issuer, currency, verification, fraud checks and international transfers. Users are responsible for applicable taxes and other financial obligations. How to request a refund
Use the official Xcrow support process through the Contact Us page. Include your project, order or transaction details, reason for the request, relevant requirements and milestone information, supporting evidence and applicable communication records. Xcrow may request additional information or identity verification. Submitting a request does not guarantee approval.
